Booking Conditions

Inka Trail Backpacker is an official Peruvian company, and is obligated to abide by the restrictions of Peruvian law. Our general conditions are therefore based on Peruvian law.

Basic Information

In order to reserve your trip, we require some personal information, including:

  • Full legal name, exactly as it appears on your passport
  • Personal e-mail
  • At least one emergency contact name and phone number
  • Type of accommodation (Not required for4 Day Inca Trail)
  • Passport Number
  • Nationality/country that issued passport
  • Birth date
  • Gender

Require a  tour deposit

In order to make a reservation for a Tour & Trek with INKA TRAIL BACKPACKER , the client is required to make a US$200 deposit, The deposit can be sent through PayPal or VISA, which will incur a 6% PayPal or visa merchant fee paid by the traveller. All deposits are fully non-refundable and non-transferable.

2.-Your booking is confirmed and a contract exists when the Tour Operator or your travel agent issues a written confirmation after receipt of the applicable deposit amount. Please check your confirmation carefully and report any incorrect or incomplete information to the Tour Operator or authorized agent immediately. Please ensure that names are exactly as stated in the relevant passport.

3.- All people named on the reservation order are committed to the contract with INKA TRAIL BACKPACKER . The person who signs the contract is regarded as having the permission of all persons whose names are on the reservation order and verifies that all these people are fully aware and accept the Terms and Conditions of INKA TRAIL BACKPACKER

Final Balance Payment

We require you to pay your final balance at our office at least 48 hours before the departure of your trek. Currently, we accept cash in US dollars or Peruvian nuevo soles only.

If you plan to arrive on the same day as the departure of the tour, the remaining balance must be paid in advance (1 week before) through the methods of payment listed above. The client must pay all transaction fees and charges (amounts depend on payment method) We accept both U.S. and Peruvian currency of any denomination. We do not accept any torn bills. If you are not arriving to Cusco 2 days before your tour begins, please arrange your payment with the Inti Sun team before your arrival.

Machu Picchu Permits

Inca Trail permits, Machu Picchu entrance tickets, and train tickets are not transferable. Because of strict government regulations, you may not cancel a reserved permit or alter the name or date on the reservation. If you are unable to come on the date you have reserved, we cannot reimburse or refund the cost of these tickets.

Once you have reserved, Inka Trail Backpacker must give your personal information to the National Park. This information includes your name, passport number, nationality, gender, and date of birth. Everything listed above must be the same upon arrival at the start of the Inca Trail and at Machu Picchu.

In extreme cases when the “Inca Trail to Machu Picchu” is declared closed for safety reasons, Inka Trail Backpacker will replace your trek with an alternative trek.

Holiday or Election Increments

An extra charge of $35 USD per person is applicable for all treks (regardless of group / private option / size of group) starting on any of the following dates:

Christmas (Dec 22nd, 23rd, 24th, 25th)
New Year (Dec 29th, 30th, 31st, Jan 1st).

An extra charge is also applicable if a trek leaves during election days. ( Peruvians are fined if they do not vote)

We use the extra charge to pay staff a bonus for working during holidays or to pay fines for not voting.

Medical Information

1.-You must advise Inka Trail Backpacker of any medical problems or allergies you may have. You need to be in good physical health, and if your health is questionable, then you should consult a doctor. If you are over the age of 70 years old, then you will need to present us with a current good health medical certificate.

2.-You are responsible for assessing whether a Tour is suitable for you. You should consult your physician to confirm your fitness for travel and participation in any planned activities. You should seek your physician’s advice on vaccinations and medical precautions. The Tour Operator does not provide medical advice. It is your responsibility to assess the risks and requirements of each aspect of the Tour based on your own unique circumstances, limitations, fitness level and medical requirements.

3.-Inka Trail Backpacker reserves the right to deny you permission to travel or participate in any aspect of a Tour at any time and at your own risk and expense where the Tour Operator determines that your physical or mental condition renders you unfit for travel or you represent a danger to yourself or others.

4.-Pregnancy is considered a medical condition and must be disclosed to the Tour Operator at the time of booking. The Tour Operator may refuse to carry pregnant women over 24 weeks. The Tour Operator may refuse to carry anyone with certain medical conditions if reasonable accommodation or alternatives cannot be arranged.

Travel Insurance

We strongly advise you to purchase travel insurance that covers accidents, medical expenses and emergency services, including rescue and air ambulance. We also recommend that it covers cancellations and loss of luggage. Please forward a copy/policy number to our offices upon booking a trek with us.

You Must Bring Your Original Passport

It is very important that you bring your original passport on the trek so that authorities can verify your information. If any of the information does not match upon arrival, you may not be able to start the trek. In the case that your passport number changes between when you make your reservation and the start of your trek, you have two options:

  1. You may send us a copy of the new passport at least 10 days before the start of your trek. The fee to update your passport information is USD $15, which you must pay to The National Park upon arrival.
  2. You may also bring both your old and new passports on the trek and to Machu Picchu. This option will not cost you anything.

If your information does not match your reservation upon arrival at the Inca Trail, Inka Trail Backpacker will not be held responsible.

Cancellations

Your deposit is 100% non-refundable. If you need to cancel for any reason, as you approach your tour start date, there may be additional cost due. There are absolutely no exceptions (we do not accept medical notes of any kind) as our out of pocket expenses are non-refundable to us.

ONCE BOOKED, DEPOSITS ARE NON-REFUNDABLE. CHART BELOW OUTLINES WHAT FURTHER FEES WILL BE DUE.

  • If for any reason any member of your group could not make the tour/trek, after having sent their deposit, and you had not sent us a cancellation email. 100% of the cost of the tour / trek, must be paid by the rest of your group member in order to do the tour/trek
  • If you cancel within 6 weeks of your start date 60% your TOTAL TOUR COST is DUE
  • If you cancel within 2 weeks of your start date 80% your TOTAL TOUR COST is DUE
  • Within the week of your trek (7 days) 100% your TOTAL TOUR COST is DUE

Finally. If you become ill or injured on the trail and are unable to continue, a porter will be provided to accompany you back to an area with emergency assistance capabilities. Helicopter air lifts and medical assistance are at the expense of the trekker. If you are unable to complete the tour due to illness, we will assist you in meeting your group at Machu Picchu to recommence your tour at that point. There will be no refund of the original payment. However, we will prepare a document to certify illness which can be presented for your travel insurance.

We Reserve the Right to Collaboration

In case we do not meet the minimum size group or we do not have the personal to operate the tour ourselves, we reserve the right to occasionally collaborate with other tour operators. In these cases, the client will always be notified in advance.

Right to Use Name and Likeness

I further grant  INKA TRAIL BACKPACKER    and its team the right to use my name, voice, likeness, and image, including photograph and electronic pictures or video showing or describing my participation in any INKA TRAIL BACKPACKER tour, trek or package, in any advertising of any type, without payment of any additional consideration.
I further waive any right I may have to review or approve the use of my name, voice, likeness or image.

Extreme Cases

There are external events that could occur outside of Inka Trail Backpacker´s control, including but not limited to: political unrest, riots, terrorist activity, disease, natural disasters, and/or inclement weather conditions, for which Inka Trail Backpacker will not be held liable and reserves the right to change, postpone or, in severe cases, cancel a trek.  In the event the Inka Trail trek must be canceled, no refunds will be given. For alternate treks, Inka Trail Backpacker will discuss options that may be available.  Weather in the mountains is very unpredictable and changeable. Inka Trail Backpacker may not be held responsible for any delay, deviation or cancellation due to weather conditions.

Tours And Treks

1.-There will be trekkers of different abilities and different language in your Inca Trail, Salkantay Trek and Machu Picchu group. Our guides are very experienced and will work to accommodate the needs of all of our trekkers in a safe and friendly manner. By accepting a Group Tour you acknowledge that others might change the speed and timing of the tour.

2.-You must advise your guide if you wish to leave the group or the camping area for independent walks or sightseeing. If you are experiencing any problems with the services of the guide or tour, please advise the guide in that moment, so that he can resolve any problems.

3.- Inka Trail Backpacker will take all reasonable care in providing to our clients avoidance of accident, illness, and loss of personal property, and will only employ suitably qualified staff. We accept responsibility for the actions of our own employees. Inka Trail Backpacker cannot, however, be responsible for any action of third parties. You are totally responsible for your own personal property and rented equipment.

4.- Inka Trail Backpacker does not take responsibility for unfavorable weather conditions, natural catastrophe, strikes, accidents, illness, injury, loss of personal ítems, etc. It is the client’s responsibility to carry insurance to cover these types of events. We reserve the right to modify or cancel the program due to any of the unforeseen conditions listed above.
Inka Trail Backpacker may modify your itinerary where reasonably required in its sole discretion.

Pre-Trek Briefing

All briefings are done at our office at 6:00 PM the night before your trek. If you are unable to make this time, you need to coordinate another time with a member of the Inka Trail Backpacker office team. Briefings are approximately 30 -45 minutes long.

Before coming to the briefing please have a look our packing checklist in which you will find all of the things you will need to take for the trek or tour.

Strikes in Peru

A popular way for the people in Peru to communicate unhappiness with the government is to strike. This area sees quite a few strikes a year that can sometimes affect the logistics involved in our tours. Most strikes are well organized and planned in advance so the office will have at least a few hours to make arrangements if needed.

Changes for logistics

Often this involves leaving for your trek the night before. Please understand we will do everything we can to get you to and from the trail and will give you the information you need as soon as we have it. We will always get you to and from the trail very safely.
